When you book with Ultimate Travel Group Inc., you agree to the terms and conditions stated on these pages and enter into agreements with Ultimate Travel Group Inc. and with others who provide your travel services. Therefore, please make sure you have carefully read and understood these terms and conditions before making your reservations.

For all Packages on the Website

Unless otherwise specifically stated all packages presented on our website adhere to the following terms: * GST/HST is additional to all Canadian Destinations * Airfare not included please call for customized pricing * Gas, local taxes, fees, surcharges and insurance on rental vehicle not included. * All packages are based on availability at time of booking. Blackout dates may apply. Prices subject to change without notice and may be withdrawn at any time.

How to Book Your Golf Vacation

A deposit of $250 per person is due for land packages at the time of booking. If booking an air inclusive package, payment in full for the air portion is also due at the time of booking. Full and final payment is required no later than 60 days prior to departure. Ultimate Travel Group Inc. reserves the right to cancel without notice, any booking for which full payment has not been received 60 days prior to departure. For group bookings of 16 or more passengers, deposits and cancellation fees may vary.

Prices

All prices quoted or found on our website are per person in Canadian Dollars. Prices include all mandatory hotel taxes and service charges. Additional charges for Canadian transportation tax, foreign departure taxes and other such items are shown separately and must be paid at the time of final payment. G.S.T. and H.S.T., where applicable, are shown separately.

Increase in Tour Costs

The prices quoted in this brochure and on our website are based on fixed costs at the time of printing. However, Ultimate Travel Group Inc. reserves the right to increase any price shown without notice due to fluctuation in currency exchange rates, fuel prices, government and departure taxes, airport user fees, or any other external uncontrollable cost increases.  Ultimate Travel endeavours to deliver the vacation package you have selected. If for any reason after a deposit has been made, the total cost of you vacation package increases by more than seven percent (7%) - excluding any increase in retail sales tax or federal good and service charges, you may opt for cancellation without charge provided you advise Ultimate Travel within the 7 days of reciept of notice of the increase.  Refunds are processed by Ultimate Travel within 14 days of reciept of your written request for cancellation.

Payments

Payments can be made by cheque or credit card. Ultimate Travel Group Inc. accepts American Express, Diners Club, Mastercard and Visa cards. Your verbal authorization of the use of your card indicates your compliance with our booking terms and conditions and confirms your reservation whether or not you have actually signed the appropriate credit card slip. Documents will not be released without receipt of final payment.

Amendment Fees

If you wish to make any changes to your booking after your reservation has been confirmed, amendment fees as specified below apply. Amendment fees are in addition to any price differential resulting from selection of a higher priced alternative. Customers are responsible for any such difference in price. Refunds will not be issued for any difference on a lower priced alternative. A name change is considered a cancellation and a new booking. If rooming or vehicle requirements are altered due to the cancellation of one or more passengers, the passengers still travelling must pay the applicable rate for the accommodation and / or vehicle to be occupied. 22 days or more prior to departure: Any change to departure/return date, hotel, hotel room category or vehicle category: $50 per amendment 21 days or less prior to departure: Any change: Refer to cancellation charges. Note: Any changes other than those specified above that you wish to make to a confirmed booking 21 days or less prior to departure will be treated as a cancellation. Cancellation fees are outlined as below. Where separate air arrangements have been booked the applicable terms and conditions will apply to any changes made.

Cancellation Charges

Cancellation charges depend upon the length of time prior to departure that notice of cancellation is received by Ultimate Travel Group Inc. Written notice is required in our office no later than 48 hours after verbal confirmation of cancellation has been received. The following charges apply based on the date we receive the written confirmation of your intent to cancel a booking:

60 or more days prior to departure .......................... loss of deposit

59 to 31days prior to departure .......................... 50% of total price

30 to 22 days prior to departure ......................... 75% of total price

21 days to date of departure ......................... ... 100% of total price

The onus is on the purchaser to ensure that written notice of cancellation is received by Ultimate Travel Group Inc. These penalties apply to the packages shown in this brochure. If additional arrangements such as air tickets are booked, then additional penalties will apply in the event of a cancellation by the purchaser. Any air arrangements purchased are 100% non-refundable and non-transferable in any way.

Insurance

It is strongly recommended that you take our holiday insurance at the time of booking. We recommend and sell RBCInsurance. Insurance premiums are non-refundable. No refunds for unused travel services.

Late Booking Fee

Bookings within 14 days prior to departure are subject to a fee of $25 per person to cover additional administrative costs.

Unused Tour Services

No refund will be allowed for any unused tour services, including unused accommodation, meals, lift tickets, transfers and car rentals. All air tickets are non-refundable, valid only for the flight and /or dates purchased and cannot be exchanged or transferred.

Documentation

It is the passenger’s responsibility to obtain at your expense, and to carry the appropriate documentation to satisfy entry requirements of all relevant authorities. In the event the passenger does not possess the necessary documentation or identification, an air carrier reserves the right to refuse passage. If your travel documents are not in order and you are refused boarding, you will be responsible for any costs incurred in catching up with your tour and no refund will be issued. Special documentation may be required for minors travelling alone or with a single parent. We strongly recommend, that even where not strictly required, you travel with a valid passport.

Flight Times

All flight times and carriers are subject to change without prior notice. We recommend that you contact your airline within 12 hours of departure to confirm your departure time. Your airline tickets and travel documents will be sent out approximately two weeks prior to your departure.

Carriers’ Responsibility

No carrier used in any of these travel arrangements shall have or incur any responsibility or liability to any passenger or for property accompanying passengers, except for its liability as a common carrier. Ultimate Travel Group Inc. cannot guarantee weather conditions nor can Ultimate Travel Group Inc. be responsible for any shut down, whether wholly or partially of the operation of the facilities, whether caused by weather or for any reason or cause, and Ultimate Travel Group Inc. expressly reserves the right to change the tour destination or part thereof if deemed necessary, solely by Ultimate Travel Group Inc., due to the conditions. Ultimate Travel Group Inc. cannot accept any responsibility for those losses or additional expenses due to changes made because of war, threat of war, riots, terrorism, civil disturbances, natural or nuclear disasters, fire, epidemics or health risks, technical problems with transport as well as flight delays due to weather or mechanical reasons, government action, closed or congested airports, and similar events beyond our control.

Customer Service

If you have any queries or problems, please raise them with an authorized Ultimate Travel Group Inc. representative or the Hotel Management during your stay. In the event of an emergency, contact the Hotel Management or your representative. Please do not wait until you return home to do something about your complaint. If you cannot resolve your problem at your destination, please notify Ultimate Travel Group Inc. in writing within 30 days of your return.

Tour Operator’s Responsibility

Ultimate Travel Group Inc., as a tour operator, makes arrangements with airlines, transfer operators, hotels and other independent suppliers to provide you with the travel services and other services you purchase. Although we take care in selecting these suppliers, we have no control over them and therefore cannot be responsible for their acts or omissions. Ultimate Travel Group Inc. reserves the right to cancel, alter or modify any part or a tour in its sole and absolute discretion for any reason whatsoever with or without any prior notice to the passenger. In the event of a change, Ultimate Travel Group Inc. will try to substitute comparable services; in the event of complete cancellation, Ultimate Travel Group Inc.’s only liability will be to refund all monies paid. If such services and accommodation cannot be supplied due to causes beyond its control, Ultimate Travel Group Inc. shall accept no liability or responsibility. Ultimate Travel Group Inc. will use its best efforts to supply the most comparable services and accommodation available, and it is understood and agreed by the traveller that the traveller shall not be entitled to any refund whatsoever except as specified herein. The traveller expressly waives any claim against Ultimate Travel Group Inc. or its principal servants, agents, employees or any individual representatives for any loss, damage or injury for any reason caused or incurred as a result of the person rendering any of the services. As Ultimate Travel Group Inc. has no direct control over the individuals who supply the various components of your tour, Ultimate Travel Group Inc. shall not be responsible for any loss, damage or injury, whether physical or mental to persons or property resulting from delays, strikes, substitution of equipment or facility, mechanical defects or failure, howsoever caused or any act of omission, negligence or any other fault by the subcontractors nor any additional expenses caused thereby and the traveller hereby expressly waives any such right to compensation for loss, damage, or injury arising whether such claim arises in tort or contract.  Living standards and practices at the destination and the standards and conditions there with respect to the provision of utilities, services and accommodation may differ from those found in Canada.

Ultimate Travel Group Inc. reserves the right to decline any traveller as a member of a tour at any time. The traveller agrees to comply with any reasonable instructions issued by Ultimate Travel Group Inc. relating to the tour. All accommodation and other services are provided by independent suppliers. Your booking of all packages advertised involves an agreement between you and those who supply these services. We assume no responsibility for the acts or omissions of these suppliers. The contract regardless of where it is performed shall be interpreted in accordance with the laws of the Province of Ontario. The invalidity of any provision contained herein shall not affect the validity of any other provision. Any oral or written assurances or statements that differ from the terms of these conditions not expressly approved in writing by Ultimate Travel Group Inc., 1660 North Service Road, East, Unit 101, Oakville, Ontario, Canada L6H 7G3 (Tel 905-755-0999 Fax 905-755- 0123) are not the responsibility of the Ultimate Travel Group Inc. The conditions contained herein constitute the entire contract between Ultimate Travel Group Inc. and the traveller. The passenger hereby acknowledges having read the within conditions or being given a reasonable opportunity to read them and have them explained to them by a representative of Ultimate Travel Group Inc. in tort or contract.
